Although experience in the conservation field is not a prerequisite, we will give additional consideration to those candidates who are motivated by their desire to work in conservation.

 

Legal/Real Estate Administrative Assistant

Location: Arlington, VA

We are seeking an administrative assistant to provide administrative/secretarial support for the Fund’s real estate and legal programs and systems. In conjunction with the Legal Manager, the Administrative Assistant will be responsible for opening new files, filing, maintaining the legal filing system, researching files for legal documents and scanning those documents into the Fund’s Document Locator system and, input of real estate tax information into the Fund’s Real Estate Database (the "database”). In conjunction with the Real Estate Manager, the Administrative Assistant will be responsible for daily data entry into the Fund’s database, preparation of required reporting, assisting in the creation of the real estate portion of the Fund’s Board of Directors materials three times a year, query and quarterly updates of all real estate projects, and organizing grant filing and loading grant reporting information into the database. The Administrative Assistant reports primarily to the Legal Manager and Real Estate Manager but works as a team member with the entire Real Estate/Legal Department.

All responsibilities of this position will flex with the flow of real estate transactions and data to input. These responsibilities include:

    1) Maintenance of the legal filing system:  This includes, on an on-going and daily basis, opening of new files; maintaining separate legal and correspondence sections in files; assuring maps, appraisals, etc., are included in the files; preparing files and boxes to be archived; keeping up-to-date logs of archived files; moving and sorting files within the respective file drawers as required.

    2) Administrative duties: As required, prepare and send faxes, prepare and send Federal Express packages, type letters, trip reports and memos.  Assist real estate legal team members in escrow closing matters as needed.

    3) Scanning:  Research, analyze, gather and input legal documents from the legal closing files into the Fund’s Document Locator system.

    4) Real estate tax input:  Working closely with the legal team members, input relevant real estate tax information into the Fund’s database.

    5) Data entry:  This includes daily data entry, adding new projects and amending current records gathered from Project Evaluation Forms, trip reports, email updates, etc.

    6) Real Estate Meetings:  Preparation of reporting required for regular Real Estate Meetings.

    7) Board Book:  Assist in the creation and assemblage of the Board of Directors materials three times per year and loading all Board submission materials into the database.

    8) Query and Updates:  Query and update all real estate projects once a quarter in collaboration with the Fund’s field staff. Assist in the preparation of quarterly departmental reporting and posting of standard reporting to internal organizational website.

    9) Federal grant reporting: Organize filing and loading grant reporting into the database where applicable. Assist with grant management and reporting to several public agencies.

The qualified candidate will have a commitment to conservation and the mission of The Conservation Fund.  Good communication, interpersonal and excellent organizational skills; diligent and outstanding attention to detail in completing responsibilities; exceptional office skills, including Word and Excel.  Experience with Windows and Microsoft Programs and, in particular, Word, Excel, and Access required.  Writing, editing and desk-top publishing skills desirable.  Ability to work with and take direction from a wide range of people necessary. Experience in real estate related work, a definite plus; dependable, flexible, mature work style; ability to work under pressure; one year of successful related experience with a college or associate degree preferred.

Office Manager/Administrative Project Assistant

Location: Boulder, CO

We are seeking an Office Manager/Administrative Project Assistant in the Western Regional Office to provide general administrative support to the Senior Vice President/Colorado Director, the Western Director, and Western Field Representative in the Colorado office. Responsible for all administrative functions to ensure smooth and efficient operation of the Western field office, including receptionist and light bookkeeping duties, computer functions and trouble shooting, preparing correspondence, reports, presentations and grant proposals, managing donor database and donor communications, assisting with due diligence on real estate projects, and coordination with staff in national and field offices. The Office Manager/Administrative Project Assistant is a point of contact for the Colorado field office with agency officials, funders, landowners, executives, consultants, and others. Hourly compensation is commensurate with the position description and experience. This is a part time position working 16–20 hours per week located in the Conservation Fund’s office in downtown Boulder, Colorado.

The Office Manager/Administrative Project Assistant must juggle routine and repetitive administrative tasks with working independently to complete assigned projects and manage the efficient operation of the Colorado office as follows:

Computers: Will trouble shoot hardware and software problems as needed. Provide assistance with Microsoft Outlook, Word, Excel, and PowerPoint. Basic network administration, including maintaining back-up of network files, organization and functionality of shared directories and files, and system for e-mail storage and purging. Coordinate with consultants on computer hardware, software and network problems and fixes. Maintain anti-virus programs and other computer security applications as needed.

Bookkeeping: Process travel and credit card expense reports, check requests and timesheets. Calculate breakdowns of monthly rent, telephone and car phone bills. Pay monthly operating expenses using Quicken; balance checking account monthly. Assist with real estate project accounting, transfers of project balances and account closures. Assist with annual operating budget for Colorado office; maintain petty cash account. Obtain new project numbers and telephone codes; maintain lists of these codes.

Telephones, Fax & Mail: Answer small volume of incoming phone calls, screen and route calls, take and relay messages. Assist with conference calls and other telephone functions. Open and distribute mail and incoming faxes in a timely manner. Handle overnight mail and messenger services.

Presentations and Proposals: Assist with materials for grant proposals and presentations; create and organize graphics, maps, and photos. Researches background information on grant, foundation and other funding alternatives. Draft project summaries for annual report, news releases, and other uses. Development: Maintain donor database using Raiser’s Edge software on Citrix platform. Annual fundraising campaign, including list maintenance, timely processing of mailings and acknowledgements using mail merge functions, processing donations received. Maintain high degree of accuracy on all donor lists and communications.

Real Estate Project Assistance: Create, maintain and organize real estate project files. Prepare project evaluation forms, board resolution requests, real estate activity memos, quarterly progress reports, and project budgets as needed. Assist with due diligence as directed by field staff.

General Administration: Maintain hard copy and electronic filing systems for real estate documents, development correspondence, board resolutions, bookkeeping and administrative records. Prepare general correspondence as needed. Track deadlines for real estate and financial reports, requests, and assignments from HQ. Assist with travel reservations for field staff as needed. Maintain office calendar of meetings, events, and travel; track daily schedules of field staff. Maintain orderliness of front desk and office, supply room and file storage areas. Order and stock office supplies; handle purchases of office equipment and furniture as needed. Ensure working condition of phones, printer/fax/scanner, and other office equipment. Catalog negatives, slides and digital images; track photos when borrowed or loaned. Coordinate with building personnel on billings, back-up receptionist services, and maintenance. Assist with arrangements for meetings, conferences, and events sponsored by TCF in Colorado. Special projects and other duties as required and directed.

REQUIREMENTS & QUALIFICATIONS

 

  • College degree strongly preferred
  • 3 to 5 years prior administrative experience; non-profit organization experience a plus.
  • Excellent organizational skills, detail-oriented with the ability to prioritize and multi-task.
  • Excellent interpersonal skills and telephone demeanor (ability to communicate professionally and effectively with high level executives, project partners, donors, and team members).
  • Excellent business writing skills (letters, reports, grant proposals).
  • Proficiency in and experience managing Microsoft Office (Word, Excel, Outlook, PowerPoint); familiarity with WordPerfect and Quicken desirable.
  • Ability to troubleshoot basic computer hardware, software and network problems.
  • Light bookkeeping skills.
  • Positive and flexible attitude, sense of humor, team player.
  • Ability to perform reliably and productively in an unstructured environment.
  • Willingness to work occasional evening or weekend hours.

    Resourceful Communities Program Administrative Assistant

    Location: Chapel Hill, NC

    We are seeking a dynamic, self-motivated, mature individual to work part time (15 hours/week) for our Resourceful Communities Program (RCP) located in Chapel Hill, NC. Established in 1991, the RCP helps North Carolina’s underserved communities create new economies that protect and restore their rich natural, cultural, historic and community resources.

    The assistant will provide clerical and administrative support to RCP staff and consultants including but not limited to event coordination assistance, partner outreach/communication, database management and updating marketing materials. Also will photocopy various materials as required, contact various partners through telephone and e-mail and revise/update contact data.

    The qualified candidate will have strong administrative skills including proficiency in Microsoft office, data entry and the ability and willingness to learn new applications quickly and with minimal assistance. Strong communication and interpersonal skills required in order to work cooperatively with a wide range of people and organizations. Excellent organizational skills and multi-tasking ability needed.

    Biostatistics Intern (Shepherdstown, WV)

    We are seeking an intern to assist with data collection, analysis and interpretation for research at The Freshwater Institute located in Shepherdstown, WV. The intern will assist with hands-on work to include but not limited to sampling events, harvests, etc.

    The qualified candidate will have a bachelor’s degree in a related field with some experience in study design, analysis of statistical data and scientific writing. Must be able to work at a computer for extended periods, have strong communication skills and the ability to work independently as well as interact with other staff members. Will also be responsible for carrying out moderately, physically, demanding manual labor assistance on-site on an as needed basis.
